Xalo Labs Ltd (“Xalo”, “we”, “us”, “our”) is a UK-registered company building performance-intelligence software for elite sport. This policy explains what personal data we collect when you visit xalolabs.com or book a demo, how we use it, who we share it with, and the rights you have over it.
1. Who we are
Xalo Labs Ltd is the data controller for any personal data you provide through this website. You can reach us at hello@xalolabs.com or by post at Xalo Labs Ltd, Kings Cross, London, United Kingdom.
2. What we collect
We collect only what we need to respond to you:
- Contact form submissions. When you book a demo or contact us, we collect the fields you submit: name, role, organisation, email, and any detail you add in the painpoint field.
- Email correspondence. If you email us directly, we retain the contents of that correspondence.
- Basic analytics. We use Google Analytics 4 to record page-view data (pages visited, device type, approximate region) so we can understand how the site is used. Google Analytics does not store full IP addresses, and we do not use advertising cookies or cross-site trackers.
We do not collect health data, athlete data, or operational data from visitors to this marketing site. Athlete and performance data processed inside the Xalo platform itself is governed by a separate Data Processing Agreement signed with each customer organisation.
3. How we use it
We use your personal data to:
- Respond to your enquiry and schedule a demo call.
- Send follow-up materials you ask for and, where you have opted in, occasional product updates.
- Improve the site and understand which content is useful to elite performance teams.
We will not use your information to profile you, build advertising audiences, or train machine-learning models.
4. Legal basis
We rely on your consent when you submit a contact form, and on our legitimate interest in running and improving our business for basic site analytics. You may withdraw consent at any time by emailing hello@xalolabs.com.
5. Who we share it with
We do not sell your data. We share it only with the service providers we rely on to run the business:
- A hosting provider for the website itself.
- An email-delivery provider that transports your form submissions to our inbox.
- Our accounting, CRM, and calendar providers.
- Google Analytics, which processes anonymised usage data on our behalf to produce the site statistics described above.
Every provider is contractually bound to process data only on our instructions. Where a provider is based outside the UK or EEA, we rely on approved transfer mechanisms (UK IDTA or EU Standard Contractual Clauses).
6. How long we keep it
Contact-form submissions are kept for as long as there is an active conversation or commercial relationship, and for up to 24 months after that, unless you ask us to delete them sooner. Anonymised analytics are retained for up to 14 months.
7. Your rights
Under UK GDPR you have the right to access the personal data we hold about you, to correct it, to have it deleted, to restrict or object to our processing of it, and to receive a portable copy of it. You can exercise any of these rights by emailing hello@xalolabs.com. We will respond within 30 days.
If you believe we have handled your data unlawfully, you have the right to complain to the UK Information Commissioner’s Office (ICO) at ico.org.uk.
8. Cookies
We use a small number of strictly-necessary cookies to serve the site,
plus Google Analytics cookies (_ga and _ga_*)
to measure how the site is used. No advertising cookies, and no
cross-site tracking. You can block or delete cookies at any time in your
browser settings, or opt out of Google Analytics specifically with
Google’s
browser add-on.
9. Changes to this policy
We may update this policy from time to time. Any material change will be reflected in the “Last updated” date at the top of the page.
